SET UP YOUR JURY

Monitor vs Projection – What’s the difference?
  • Monitor Fullscreen: This view is designed for images to be viewed on computer monitor in fullscreen mode. Jurors view images one by one and then as thumbnails on the final slide with the scorecard. Juries using the monitor scorecard will be able to zoom in on images.
  • Projection: This view is designed for juries that project large images onto a wall or screen. The scorecard features thumbnail-sized versions of the images so the juror can follow along with the images being projected.
Setting Up a Monitor Jury
  1. Ensure all artists to be juried are in the Received status. Only artists in the Received status will be juried.
  2. Set your jury to In Progress.
  3. Choose Monitor Fullscreen for your jury type.
  4. Choose your scoring type, scoring type order, and the way you want to sub-sort artists. 
  5. Change your Hide Current Artist Status to Yes.
  6. Use the fields on the right-hand side of your screen to customize the information your jurors can see. 
  7. Click “Save Jury Settings.”
Setting Up a Rolling Jury
  1. Ensure all artists to be juried are in the Received status. Only artists in the Received status will be juried.
  2. Set your jury to In Progress.
  3. Choose the applicable jury view for your jury (most events choose “monitor fullscreen”).
  4. Choose your scoring type, scoring type order, and the way you want to sub-sort artists. 
  5. Change your Hide Current Artist Status to No. This will allow artists to continue to apply to your event while your jury is in progress; however, artists who are moved to the Invited status will have the ability to view and purchase booth products, if your booth products are active. 
  6. Use the fields on the right-hand side of your screen to customize the information your jurors can see. 
  7. Click “Save Jury Settings.”
Setting Up a Projected Jury

We recommend using ZAPP’s JuryBuddy™ application to run your projected jury. To find out more about our app and how the process works, please email us at zapphelp@westaf.org.

  1. Ensure that all artists to be juried are in the Received status. Only artists in the Received status will be juried.
  2. Set your jury to In Progress.
  3. Choose Projection for your jury type.
  4. Choose your scoring type, scoring type order, and the way you are sub-sorting artists. 
  5. Change your Hide Current Artist Status to Yes.
  6. Use the fields on the right hand side of your screen to customize the information your jurors can see. 
  7. Click “Save Jury Settings.”

 

CREATE AND MANAGE YOUR JUROR ACCOUNTS

  1. On the Jury Administration page, click “Add Juror” to create a brand new juror account. Already created the account? Select Jury > Jurors from your menu, click the “Edit” button next to the account, and assign them to your current event by selecting the relevant checkbox.
  2. Create a Username and Password for your juror. Enter their Name, Email, and Phone Number. Passwords must follow ZAPP requirements: At least seven characters, one capital letter, one lowercase letter, and one number.
  3. Click “Add.”
  4. The Juror Editor page will reload. Click the checkbox next to your event name to assign the juror to that event. 
  5. Click “Save” and send the credentials (Username and Password) to your jurors.

PRE-JURY REPORTS

ZAPP has two reports you may want to download before your jury begins: All Discipline Counts and Printable Score Sheets. 

  • All Discipline Counts will download a list of your medium categories and the number of in each one. You can use this list to help you set medium category percentages.
  • Printable Score Sheets will download a scorecard for you to print out for your jurors. ZAPP scoring is done online, so you can print these score sheets as backup or if all of your jurors will be looking at just one screen but need to physically score applicants themselves.

THE APPLICATION TABLE

Image depicts the application table on the Jury Administration page. All categories are showing and you can see the average score for the first applicant is 4.5. The average score for the second applicant is 5.0. For both artists you can see the juror scores and comments.

During the jury, administrators can use the application table to view juror scores and comments. The table will also display one image thumbnail from each application, artist names, application IDs, and statements of technique. You can filter the table by medium category or various keywords or phrases you type in. 

To see new juror comments or scores happening in real time during your jury, click the “Update” button. You can also move artists, one by one, to the Invited, Not Invited, or Waitlist status by selecting the desired status from the drop-down menu below the artist’s image thumbnail and clicking “Update.”

POST JURY REPORTS

There are two different ways to download a report of your scores:

  • Download Scores: Download scores for one medium category (or all medium categories) for your current round. 
  • View Scoring History: Download all scores for any round of the jury.

REMOVING AND INVITING ARTISTS

Click “Remove Artists” under Remove Artists and Advance Rounds. You will advance to a page that shows a table of medium categories, average score per category, and the number of applicants to be removed, to remain in the jury pool, along with the percentage of applicants being removed in each category.

Image depicts the Update Thresholds page. The system has automatically pulled in the averages of each medium category and determined the number of artists to be removed and the number of artists who remain.

The table will automatically pull the average score, per category, as the removal threshold. Any artists who scored below the removal threshold, or average score, will default to the Not Invited status. You will have a chance to preview all of the artists who are set to be removed from the jury pool on the next page. Changes made on this page will not automatically move any artists to Not Invited.

Want to change the Remove Threshold? Follow these steps: 

  1. Select the checkbox next to the medium category of the threshold you want to change.  
  2. Change the number within the Remove Threshold box. Remember, artists with scores under this threshold will be defaulted to the Not Invited status for removal from the jury pool. 
  3. Click “Update Thresholds” to see how many artists will be removed from your jury pool and how many will remain.

To see a list of applicants who will be moved to Not Invited (those who scored below your threshold) and to move them to Not Invited, click on the check box next to Discipline Name to select all medium categories and click “Preview.”

On the following page, you will see a list of artists that will be moved to the Not Invited status. These applicants have been defaulted to the Not Invited status based on their scores in relation to your thresholds. You can use the drop-down menu to change an artist’s status to either keep them in the jury pool (Received) or to move them to the Waitlist or Invited category.

When everyone is in the status you would like them to be in, click “Remove Artists.” This button acts as a save button so it will move artists to the statuses you set on this page. 

 

Multiple Rounds

If you conduct multiple jury rounds, after you have removed artists, change the “Current Round” status in drop-down to the next round and click “Save.” Your jurors will then be able to log back in and score all of the remaining applicants for Round 2. Once you have completed all rounds of your jury and removed all low-scoring applicants, progress to inviting artists. 

 

Inviting Artists

Under Finalize Jury Selection, click “Invite Artists.” On the following page, click the checkbox next to Discipline Name to select all medium categories. Leave the invite threshold to 0.00 (as you will have already moved all low-scoring applicants out of the jury pool) and click “Preview.”

Review your list of Invited artists, changing any statuses as desired, and then click “Invite Artists” to move all artists on the list to the Invited status. 

 

Some Reminders

  1. For artists to see jury results and their statuses, your jury must be set to Complete and your Hide Current Artist Status must be set to No
  2. Artists will not automatically be notified of their status. You can use the communication tool to email them results. 
  3. Artists will not see jury scores and comments unless you wish to share them. To share jury scores with artists, you can merge them into an email using our communication tool.
